XRechnung and ZUGFeRD integration into ERP
GSWE integrates processing and generation of structured invoice data into existing applications. We clarify formats, data mapping and technical validation, connecting the workflow with ERP and approval processes.
Description
The adapter connects structured invoice documents with existing approval and ERP workflows. Format validation, master-data mapping and business review receive separate, traceable states. Tell GSWE whether incoming or outgoing invoices are in scope, which formats are involved and how the ERP workflow operates today.
Depending on the agreed boundaries, the concrete scope covers: invoice format integration, technical validation and ERP handoff.
Approach
XRechnung uses structured XML data; hybrid ZUGFeRD combines a PDF document with embedded invoice XML. Explicitly agree format versions and profiles. Technical validation differs from business approval: a formally valid document may still refer to an incorrect order or contain another business discrepancy. Specifications and current artefacts are available from XStandards Einkauf and FeRD. Together we define the first delivery scope and verifiable acceptance criteria.
Outcome
Structured invoice data enters the existing workflow with a traceable validation status. Format errors, missing master data and business queries are distinguishable. Finance and IT can address failures at the appropriate stage while retaining the link between the original and its processing history. Handover includes the implemented connection, agreed tests and documentation of operating responsibilities.
Technical details
GSWE implements the import adapter for the agreed invoice profiles and ERP target objects. Technical validation failures are reported separately from missing supplier references or business-blocked postings. Repeat deliveries retain the same business identity; tests verify that an interrupted transfer cannot create a second posting.
